Privacy Policy

Last updated 18 September 2026

CollectZe is an independent app for finance companies that collect payments in person. This policy explains, in plain words, what the app and website collect, why, and what you can do about it. Questions: collectze@gmail.com.

1. Whose data it is

  • Your account — your phone number, name and the company you belong to. CollectZe is responsible for this data.
  • Your borrowers — the names, numbers and loan details your company enters into its books. Your company is responsible for that data; CollectZe only stores it to run the app. If you are a borrower, please contact the finance company you deal with — they hold your record.

2. What is collected

  • Phone number — to sign in with a one-time code and to show who recorded what.
  • Name and, optionally, email — shown on your actions and used for support replies.
  • Company, role and book access — to apply your permissions.
  • Device notification token — to send the reminders you turn on.
  • App version and crash reports — to fix problems.

The app does not collect your location, contacts, photos or advertising identifiers.

Borrower data is whatever your book's columns hold — typically name, phone number, address, loan amount, instalments, due dates and payments, plus any custom columns you add.

3. How features use your data

  • Excel / CSV import — uploaded files are kept in your company's private storage for import history and deleted with the company.
  • Export and reports — created on request and handed to your device. No copies are kept.
  • Google Drive backup (optional) — the app can only create files in a folder it makes in your Drive and cannot see anything else. You can disconnect it any time. Google data is used in line with the Google API Services User Data Policy, including its Limited Use rules.
  • Reminders — a notification goes to your team on the schedule you set. Reminders to borrowers by WhatsApp or SMS are not live yet; this policy will be updated before they are.
  • Activity log — every payment, edit, import and cancellation is recorded with the person and time, as part of your company's data.
  • Website — the contact form collects your name, phone, email and message so we can reply. No advertising cookies, no trackers.

4. Sharing

CollectZe uses trusted cloud service providers for hosting, sending notifications, the optional Google Drive backup and website email. Each only processes data for that purpose. Personal data is never sold, never used for advertising, and never shared with anyone else unless the law requires it.

5. How long it is kept

  • Your account — until you delete it, then removed within 30 days.
  • Your company's data — until the Owner deletes the company, then removed within 30 days.
  • Payments you recorded, after you delete your own account — stay in the company's books with your name replaced by "Former team member".

6. Security

Everything is encrypted in transit and at rest. Each company's data is kept fully separate, so one company can never see another's. Sign-in uses one-time codes, not passwords. If a breach ever affects your data, you will be told without delay.

7. Your choices

  • See and change your details in the app under Settings → Profile.
  • Delete your account from the app, or by email — see Delete your account.
  • Turn off Drive backup or notifications at any time in the app or device settings.
  • Export your company's data (Owners and Admins) from Reports and Backup.
  • Ask for a copy of your account data, or to correct it — collectze@gmail.com.

8. Children

CollectZe is a business tool for adults (18+). No data is knowingly collected from children.

9. Changes

Changes are posted here with the date above. For important changes you will be told in the app or by email first.
